Offline conversions: How do closed deals from the CRM get back into Google Ads?

Offline conversions are deals that happen after the click, outside the website, for example an order following a quote and a phone call. They are sent back from the CRM to Google Ads, either via the Google click ID (GCLID) or via hashed contact details. Google Ads then sees which clicks generated revenue and optimises for deals instead of form submissions.

Why it matters

Without this feedback, Google Ads counts every form the same, including spam, job applications and enquiries that will never fit. Automated bidding then looks for more of exactly those forms. With offline conversions, the system learns which search terms, times and audiences lead to real deals. This makes a big difference, especially with long sales cycles and high deal values.

How the import works

  1. Store the click ID: When the form is submitted, the GCLID from the URL is passed into the CRM along with the enquiry. Alternatively, the email address or phone number is used for matching, see enhanced conversions for leads.
  2. Maintain the status in the CRM: Sales marks enquiries as qualified, quote sent, won or lost, ideally with the deal value.
  3. Create conversion actions: In Google Ads, one for each stage that should count, for example “qualified lead” and “deal”.
  4. Upload the data: by file, via a CRM integration or automatically, at least weekly.
  5. Adjust your bidding strategy: Once there is enough data, optimise for the new conversions or for value.

Common mistakes

  • The GCLID is not stored because the form does not read it or a redirect step drops it.
  • The upload runs for a few weeks and is then forgotten.
  • Conversions are uploaded with the wrong time zone or too late. Google only accepts clicks from a limited time window.
  • Phone enquiries are missing entirely because they never end up in the CRM.
  • Consent is not taken into account.

Who it is worth it for

For anyone who wins enquiries rather than online purchases through Google Ads and turns more than a handful of them into deals each month: trades, service providers, B2B, real estate, healthcare. With very few deals, the intermediate stage “qualified lead” is often enough as a signal.

FAQ

How long after the click can you upload offline conversions to Google Ads?

For GCLID-based imports, the window is at most 90 days after the click, further limited by the conversion window of the respective conversion action. With longer sales cycles, it therefore makes sense to also import earlier stages such as “qualified lead” or “quote sent”. That way Google Ads receives a signal before the window closes.

What is the difference between offline conversion import and enhanced conversions for leads?

With the classic import, each conversion is matched to a click via the stored GCLID. With enhanced conversions for leads, the tag on the website captures hashed contact details such as the email address, and the later upload from the CRM is matched using that data. This is more robust when the click ID gets lost, but it requires appropriate consent.

Which CRM systems can be connected to Google Ads?

For widely used systems such as Salesforce and HubSpot, Google Ads offers direct connections. Other CRM systems can be connected via regular file uploads, a Google Sheet as the source, integration services or the Google Ads API. What matters most is not the system but keeping click ID, status and deal value cleanly maintained.

When to hand this over

  • Your sales team works with a CRM, but Google Ads knows nothing about it.
  • The quality of enquiries from Google Ads varies a lot.
  • You want to optimise for revenue instead of forms.
